Account Statements & Balances

Dealers pull their own statement, open invoices and running balance whenever they need it

A dealer picks a date range and the statement opens straight away, with debit, credit and balance lines matching the account transactions in your ERP row for row. Open invoices, issued e-documents and an aging table sit on the same screen and export to PDF or Excel. Your finance team stops fielding balance calls, and period-end reconciliation runs off one shared set of figures.

Working Processes

How the process works, step by step

  1. Account Mapping

    The customer record in your ERP is matched to the portal login, and where a dealer trades under several codes all of them hang off the same user.

  2. Transaction Feed

    Invoices, collections, returns and offsets flow in as account transactions, each keeping the document number it came from.

  3. Opening the Statement

    When the dealer opens their account the first screen gives three figures: current balance, not yet due, and overdue.

  4. Period Selection

    Date range, currency and account code narrow the statement, and the portal remembers the choice for the next visit.

  5. Transaction List

    Lines run in date order across debit, credit and running balance columns, each one linked to the document behind it.

  6. Document Access

    Clicking an invoice number pulls the e-document as PDF and XML, so the dealer never has to ask your accounts team for a copy.

  7. Aging Buckets

    Open balance splits across 0-30, 31-60, 61-90 and 90+ day buckets, and the overdue figure reads the same on your screen and theirs.

  8. Settlement Trail

    The statement shows which invoice each collection closed, and a part-settled invoice keeps its remaining amount on its own line.

  9. Export

    Because the column layout never shifts between releases, your bookkeeper feeds the file into their own package without hand-editing it first. The PDF is what gets signed at reconciliation.

  10. Reconciliation Request

    At period end confirmation letters go out in bulk, and the dealer either agrees in one click or raises an objection.

  11. Dispute Handling

    Disagreeing means writing down what they see on which line. From there the case reaches your finance team and stays open until someone closes it.

  12. Period Close

    Agreement locks and archives the period, and later statements start from the transactions that follow it.
