Field Sales & Rep Management

Reps order for their dealers from the field, with visits and collections logged on the spot

A rep opens their own portfolio on a phone, places an order for the dealer standing in front of them, and shows that dealer the account balance and open invoices while doing it. Visit notes, orders and collections are entered on the same screen, so nothing waits for a form back at the office. Managers compare portfolios, visit frequency and revenue per rep in one list.

Working Processes

How the process works, step by step

  1. Portfolio Assignment

Each rep gets a portfolio by territory, channel or named accounts, and a handover carries the history across to the new owner.

  2. Route Planning

Call frequency and last-visit dates produce a weekly visit plan, which the rep edits before setting off.

  3. Visit Check-In

The rep starts the visit at the dealer's door, and the time and location are stamped onto the record.

  4. Account Snapshot

The card that opens carries the balance, the overdue amount, recent orders and anything still waiting on an answer.

  5. Ordering for the Dealer

Orders go in at the dealer's own prices and against live stock, with the record keeping who entered them.

  6. Presenting Offers

Live promotions and volume tiers come up on the tablet, so the rep can work out which tier the basket would reach while they are still talking.

  7. Collecting in the Field

Cash, checks or a card link settle the balance on the spot, and the receipt reaches the dealer immediately.

  8. Visit Notes

Conversation notes, shelf photos and competitor intelligence attach to the visit, and the next call opens with them in view.

  9. Offline Sync

Orders and collections entered where there is no signal wait on the device and upload themselves once it returns.

  10. Authority Escalation

A discount or term beyond the rep's authority goes to the regional manager, and the answer comes back while they are still on site.

  11. End-of-Day Close

At the close of the day, collections taken, orders entered and visits completed are summarized for sign-off.

  12. Field Performance

Growing portfolios and busy-but-empty call sheets land in the same table, which makes the difference between two reps hard to miss.
