Contract & Agreement Management

Track annual agreements, territory restrictions and contract dates against every dealer account

The pricing terms, volume commitment, discount rate and validity dates of each signed agreement are held on the dealer record and referenced whenever an order is priced. Territory rules, eligible product families and sub-dealer permissions attach to the contract itself. Expiring agreements raise a warning ahead of the date, and signed documents, addenda and consent forms stay with the account.

Working Processes

How the process works, step by step

  1. Template Selection

A template matching the dealer type comes with the standard clauses and consent texts already in the draft.

  2. Commercial Terms

Price list, discount rate, payment terms and the volume commitment go into the commercial section.

  3. Territory and Scope

Territory, the brands the dealer represents and any excluded families all get pinned down here.

  4. Sub-Dealer Rights

Whether the dealer may appoint sub-dealers, and on what terms they would trade, is written into the agreement.

  5. Internal Approval

The draft moves through sales, finance and legal in turn, with each reviewer's note staying attached to it.

  6. Signature and Filing

The signed copy is uploaded to the dealer record, wet-ink and e-signed versions kept side by side.

  7. Activation

On the start date the agreed terms connect themselves to the pricing and credit engines.

  8. Order-Time Check

Every order is tested against scope, territory and validity, and a line outside the agreement raises a warning.

  9. Commitment Tracking

Actual turnover runs against the commitment as a percentage, and the dealer can see the remaining gap on their own screen.

  10. Addenda

Terms that change mid-year go in as an addendum, building a version chain without disturbing the master text.

  11. Renewal Alerts

When the countdown to expiry crosses your threshold a task opens for the account manager and the renewal conversation gets booked.

  12. Contract Portfolio

Renewals and the agreements that quietly lapsed land on the same list, so the regional manager hears about the second kind in time to act.
