Finance & Online Collections

Dealers settle their invoices by card, and the collection posts to their account the same day

From the statement a dealer selects which invoices to settle and clears them by card through your payment gateway, with installment plans and term surcharges following your acquirer agreements. Wire notifications, check entries and collections taken by reps in the field go through the same screen. Each one posts to the customer ledger in your ERP, is matched against bank transactions and moves the balance that day.

Working Processes

How the process works, step by step

  1. Acquirer Setup

    Finance enters the banks, the gateway credentials and the commission rates once, and nobody opens the screen again until you sign with a new bank.

  2. Installment Table

    Installment counts, surcharge rates and ceilings are tabled per card family, and the dealer is offered only what qualifies.

  3. Choosing Invoices

    From the statement the dealer ticks which open invoices to settle, or types an amount for a partial settlement.

  4. Payment Method

    Card, wire notification, check entry or an offset against an existing advance: the dealer picks one.

  5. Amount Confirmation

    The surcharge for the chosen term or installment plan is worked out, and nothing proceeds until the dealer confirms the total.

  6. 3-D Secure

    Card transactions hand off to the bank's 3-D Secure screen, and no card data ever touches the portal.

  7. Authorization and Receipt

    When the bank approves, a receipt follows to the dealer's screen and inbox.

  8. Wire Matching

    A wire the dealer declares is matched to the bank transaction by amount and reference.

  9. Check Portfolio

    Checks are entered with drawer, maturity and amount, and the ones coming due rise to the top of the list.

  10. Posting to the Ledger

    Each collection is written to the ERP as an account transaction, linked at line level to the invoice it closed.

  11. Bank Reconciliation

    At day end finance compares the virtual POS report against bank transactions, and whatever fails to match goes on a list.

  12. Collections Reporting

    Finance follows how the money comes in and how long it takes, and the gap between dealers who settle by card and dealers who settle by check shows up here.
