Quote Management (RFQ)

Turn a dealer's price request into a quote, and an approved quote into an order in one click

When a dealer needs a price that is not on their list, or wants special terms, they convert the basket into a request. It lands with the account manager, who prices it line by line, sets the discount and an expiry date, and sends it back. Approving the quote turns those exact lines into an order. Every revision is kept, so you can see who changed which line and when.

Working Processes

How the process works, step by step

  1. Raising a Request

    Lines that already carry a price continue on as an order while the rest move into a numbered quote record, and the dealer follows both from the same list.

  2. Request Detail

    Line by line the dealer enters a quantity, a target price, a required date and any technical note, attaching files where they help.

  3. Assignment

    Requests route to an account manager by territory and product family, with a fallback rule so none of them sits unowned.

  4. Cost Review

    Landed cost, current availability and what the same item went out at over the past six months all sit on one screen.

  5. Line Pricing

    Price, discount and the quantity band it holds for go against each line, with margin recalculating as the rep types.

  6. Approval Threshold

    A quote past the rep's discount authority goes to a manager, while anything under it leaves on the rep's own signature.

  7. Validity Terms

    Expiry date, exchange-rate condition and lead time go into the document itself.

  8. Sending the Quote

    The quote goes out as a PDF, to the dealer's portal account and to their inbox.

  9. Dealer Review

    The dealer works through the quote line by line and may accept some lines while asking for a revision on others.

  10. Revision Round

    Each revision is kept as a new version, and opening two of them side by side marks the lines that moved.

  11. Conversion to Order

    Approval copies the quoted lines and their prices into an order, and the credit and stock checks run at that point.

  12. Win-Loss Analysis

    Lost quotes group by the price gap that lost them and by how many days the answer took, which separates a pricing problem from a slow-response problem.
