Credit Limits & Payment Terms

Credit limits, terms and collateral rules enforced at the moment the order is placed

Every dealer's credit limit, remaining headroom and payment terms stay visible while the order is still being built. A basket that breaches the limit either routes to a sales manager for approval or is blocked outright, and you decide which. Term surcharges, early-settlement discounts and collateral held against checks all feed the calculation, and one switch stops ordering for accounts in arrears.

Working Processes

How the process works, step by step

  1. Setting the Limit

A credit limit is read from the customer record in your ERP or entered by hand in the portal, and the currency is stored alongside it.

  2. Collateral Entry

Guarantees, mortgages and customer checks are logged with amount and maturity, adding headroom on top of the base limit.

  3. Payment Terms

Which terms an account may use, and the longest one you allow, get fixed here and decide what checkout offers.

  4. Exposure Calculation

Available headroom is whatever survives open invoices, orders awaiting approval, shipped-but-uninvoiced batches and checks in portfolio.

  5. Live Indicator

A bar tracks the remaining limit as lines go into the basket, so the ceiling is visible long before the dealer presses submit.

  6. Breach Rule

Baskets over the limit follow one of three behaviors you choose: blocked outright, routed for approval, or let through with a warning.

  7. Approval Decision

An order sent for review reaches the sales manager together with that account's payment history and aging table.

  8. Arrears Check

Ordering stops for an account in arrears as soon as the overdue balance passes the day and amount thresholds you set.

  9. Term Adjustment

The chosen term adds a surcharge or an early-settlement discount to the basket total, shown to the dealer as a line of its own.

  10. Headroom Reservation

Approved order value comes off available headroom and sits reserved until someone raises the invoice against it.

  11. Released on Payment

The moment a collection posts to the account the headroom frees up, so a dealer who pays today can order today.

  12. Early Warning

Finance sees the account that keeps running its limit to the edge and pays a little later each month at the top of the list, while it is still a small problem.
